**Company Laptop and Tablet Usage Policy**

1. Purpose
This policy outlines the guidelines for the use of company-provided laptops and tablets as well as the use of personal devices (Bring Your Own Device, or BYOD) in the workplace. It aims to ensure that employees understand their responsibilities regarding equipment provided by Michigan Pizza Hut, the proper handling of such equipment, and the necessary security measures for personal devices used for work purposes.
2. Company-Provided Laptops and Tablets
Michigan Pizza Hut laptops and tablets to employees for work-related tasks. These devices may be used for personal activities outside of work hours, provided that such use does not interfere with work duties or violate company policies, including but not limited to:
- Workplace Conduct and Professionalism
- Security and Privacy Standards
- Acceptable Use of Technology
Employees should keep in mind that the company may monitor the use of work devices, including personal use, to ensure compliance with these policies.
2.1 Damage, Loss, or Theft
Damage: Employees must immediately report any damage to a company-provided laptop or tablet to the Director of Development & Technology. If the damage is caused by misuse or negligence, the employee may be held responsible for repair or replacement costs.
Normal wear and tear: The company will cover the cost of repairs for normal wear and tear on the devices.
Negligence: Employees may be held liable for repair costs if damage is caused by gross negligence, such as dropping the device from a significant height, exposing it to liquids, or using it in an inappropriate manner.
Intentional damage: Deliberate damage to company property may result in disciplinary action, including potential termination of employment.
Repair Process: Employees must contact the Director of Development & Technology to initiate the repair process. All repairs must be done through authorized company repair centers or vendors. Employees are responsible for backing up important data before sending their device for repairs.
Lost or Stolen Equipment: Employees are responsible for keeping company equipment secure. If a company laptop or tablet is lost or stolen, employees must report the incident to [Insert Department/Team Name or IT Support] immediately. The employee may be responsible for the costs associated with replacement if the loss is due to negligence (e.g., leaving the device unattended in public spaces).
2.2 Replacement Policy
Beyond repair: If a device is deemed beyond repair, the company will provide a replacement at their discretion, depending on the circumstances.
Lost devices: Employees may be required to pay for a replacement device if it is lost due to negligence.
3. Bring Your Own Device (BYOD)
Employees who wish to use their personal devices (laptops, tablets, or smartphones) for work purposes may do so, provided they meet the following conditions:
3.1 Security Requirements
Protection and Monitoring: All BYOD devices must be enrolled in the company’s third-party security and monitoring applications (e.g., mobile device management (MDM) software, anti-virus software, etc.). This is to ensure that company data is protected and that devices meet the company’s security standards.
Encryption and Password Protection: All BYOD devices must be encrypted, and employees are required to set up strong passwords or biometric authentication methods (fingerprint, face recognition) on their devices.
Remote Wipe: In the event of a lost or stolen BYOD device, the company reserves the right to remotely wipe company data from the device to prevent unauthorized access.
3.2 Usage Restrictions
Work-Related Use Only: Personal devices may be used for work-related tasks only. Use of personal devices for personal activities during work hours should be limited and must not interfere with job responsibilities.
Separation of Personal and Work Data: Employees are required to ensure that company data is clearly separated from personal data on BYOD devices. Company data should be stored in approved work applications (e.g., Microsoft One Drive, SharePoint, company-managed apps) and not in personal storage areas (e.g., personal email or file storage).
4. General Guidelines for Laptop and Tablet Use
Maintenance and Care: Employees are expected to maintain their company-provided laptops, tablets, and BYOD devices in good working order. Any issues should be reported to the Director of Development & Technology promptly for troubleshooting or repair.
Software and Updates: Employees must ensure that their devices, both company-provided and personal, are updated regularly with the latest software, security patches, and anti-virus definitions as required by the company’s IT department.
Compliance with Company Policies: Employees are required to adhere to all company policies related to the acceptable use of technology, data security, and confidentiality, whether using company-issued or personal devices for work purposes.
5. Consequences of Non-Compliance
Failure to comply with the terms of this policy, including misuse or negligent care of company-provided equipment or non-compliance with the security requirements for BYOD devices, may result in disciplinary action, up to and including the termination of employment.
6. Acknowledgment
By accepting a company-provided laptop or tablet or using personal devices for work purposes, employees acknowledge that they have read, understand, and agree to the terms outlined in this policy.
