**Bring Your Own Smartphone (BYOS) Policy**

Effective Date: January 1, 2025 

Policy Owner: Michigan Pizza Hut – Director of Technology & Development

1. Purpose

This policy outlines the guidelines for employees who are required to use their personal smartphones (Bring Your Own Smartphone, or BYOS) for work purposes. It covers the use, reimbursement, and security requirements for personal smartphones, as well as the responsibilities of both the employee and the company to ensure the devices meet the necessary standards for work use.

2. Eligibility for Reimbursement

Employees who are required to use their personal smartphones for work purposes are eligible for a monthly stipend to help cover the costs associated with their phone and service plan. The stipend is intended to reimburse employees for:

- A portion of the monthly cost of the smartphone service plan (e.g., data, voice, messaging)  

- A portion of the cost of the phone itself

2.1 Amount of Stipend

The stipend amount will be determined by the Michigan Pizza Hut based on a set price determined at the beginning of the calendar year. 

2.2 Reimbursement Requirements

The stipend is intended to cover the basic cost of a smartphone and service plan necessary for business use. 

The stipend is not intended to cover the cost of personal features, applications, or excessive personal use outside of the scope of business activities. Additionally, the stipend is not intended to cover costs of pro/ultra series phones.

3. Security and Monitoring Requirements

To protect company data and ensure compliance with company security standards, employees using personal smartphones for work must meet the following requirements:

3.1 Security Compliance

Protection and Monitoring: All BYOS smartphones must be enrolled in the Michigan Pizza Hut’s third-party security and monitoring applications, such as mobile device management (MDM) software, anti-virus software, and/or remote-wipe capabilities. This ensures that company data is secure and that the devices meet the company's security standards.  

Encryption: All BYOS smartphones must have encryption enabled to protect company data stored on the device.  

Password Protection: Employees must set up strong passwords or use biometric authentication (e.g., fingerprint, face recognition) on their personal smartphones to access company applications or data.

3.2 Remote Wipe Capability

In the event that a smartphone is lost, stolen, or an employee leaves the company, the company reserves the right to remotely wipe company-related data from the device to protect sensitive information.

4. Usage Guidelines

While the stipend allows for the use of personal smartphones for work purposes, employees must adhere to the following guidelines regarding usage:

4.1 Work-Related Use

Employees may use their smartphones for work-related activities, such as accessing company email, calendar, messaging, and business applications, during business hours and for work purposes only. Excessive personal use of the smartphone during work hours should be avoided and should not interfere with the employee’s work performance.

4.2 Separation of Personal and Work Data

Employees must ensure that work-related data is separated from personal data on the device. This includes:

Business Apps: All work-related applications (Outlook, Microsoft365, OneDrive etc.) must be stored in company-approved apps or services.

Personal Use: Personal data, such as personal emails, photos, and non-work apps, should not be mixed with company data or stored in the same app.

4.3 Data Backup

Employees are responsible for backing up their personal data on their devices, including contacts, photos, and apps. The company is not responsible for personal data loss in the event of a device malfunction, damage, or remote wipe.

 

5. Responsibilities of Employees

Employees using a personal smartphone for work are expected to:

Maintain Compliance with Company Policies Employees must ensure their device complies with all relevant company policies, including security, acceptable use, and confidentiality.

Report Issues Promptly: Employees must immediately report any loss, theft, or security incidents involving their smartphone to the Director of Development & Technology. This includes the loss of company data or a security breach on the device.

Device Maintenance: Employees are responsible for maintaining the device in good working condition, including software updates, repairs, and keeping the device secure.

Return of Company Data: Upon termination of employment or at the company’s request, employees must ensure that all company data is removed from their device, including any business-related applications, files, and communications.

6. Reimbursement Process

Approval to receive the monthly stipend must come from the President, Director of Operations, or Director of Development & Technology (Michigan Pizza Hut Leadership).  After approval, Michigan Pizza Hut Leadership notifies Accounts Payable to start reoccurring monthly stipends. 

The stipend will be processed at the end of every month. 

7. Consequences of Non-Compliance

Failure to comply with the terms of this policy, including failure to maintain the necessary security protocols or misuse of the stipend, may result in the suspension or termination of the stipend and/or other disciplinary action up to and including termination of employment.

8. Acknowledgment

By accepting the stipend and using a personal smartphone for work purposes, employees acknowledge that they have read, understand, and agree to the terms outlined in this policy.
